Rothwell Scout Headquarters Terms and Conditions of Use

No persons may use the premises, without full time supervision of a responsible person over the age of 21.

Any keys loaned to the user must be in the custody of the person or persons who sign the Booking Agreement Form. They must be returned to the Committee Member who granted custody, immediately after the agreed period of use. Keys cannot be retained without express agreement of the Executive Committee of the 7th South Leeds (Rothwell) Scout Group.

It is the hirer’s responsibility to ensure the building is not left unattended during the duration of the booking. In the event that the building is left unattended the surety cheque will be withheld.

The fee, payable for the use of the building and services, is as agreed by the Committee at the time of booking and is payable per hour or part thereof. A Surety of £50 is required, refundable following satisfactory inspection of the building after your function.

The user must strictly abide by the times stated on the Booking Form. Any additional use of the building must be advised to the Executive Committee.

Any hirer must be responsible for the removal of refuse from inside /outside the Scout Headquarters.

A non-returnable deposit of £l0 is required at time of booking, or at the latest, one month in advance of the event. The remainder of the full fee is payable thirty days in advance of the event.

Where the use covers more than one occasion:

The full applicable fee is payable seven days prior to commencement of the period.

Where the booking exceeds one month, a payment is due in advance every month.

One weeks notice of cancellation is required, in writing.

The sole controllers for the use of the premises, are the Trustees and the Executive Committee, who may vary the fees payable, and any conditions of use to the premises at any time, and may use the building at any time, even though the use was formerly agreed.

The use of the building must be in accordance with the purposes indicated on the booking form and no other.

All property and equipment within the building is owned by the Executive Committee, including all fixtures and fittings, and the use of such property, equipment and fittings is forbidden, unless permission has been granted by the Executive Committee.

The storage of any equipment belonging to a person who uses the building is subject to the permission of the Executive Committee, who will not accept any liability for loss, damage or removal of such equipment.

The user accepts full responsibility for the repair, replacement or reinstatement of the property, furnishings fittings and equipment in the event of loss or damage during the period of use, preparation or clearing up.

The sale of intoxicating liquor is forbidden unless the user has first obtained a licence from the appropriate authority and copy has been given to the Executive Committee. Any sale must be in accordance with the provisions of such licence.

During the period of use all emergency exits must be kept clear.

The user is responsible for tidying up and if necessary, cleaning after the event, and for the removal of all materials and goods belonging to the user.

The Executive Committee cannot be held liable for loss of or damage to any property howsoever caused, belonging to:

The user.

Any third party invited onto the premises by the user.

In consideration of permission to use the facilities of our property, you agree effectively to insure against all claims arising from the exercise of the permission, or from any negligence or default in connection with your use of the premises, or any activity thereon, (whether authorised or not), so as fully to satisfy all claims for which you may be liable under this permission and on demand, to produce evidence of insurance.

The user is responsible for payment of fees to the Executive Committee. Arrangements may vary in each case, and reference to the details aforementioned will indicate the arrangements in each case.

The Executive Committee permit use of the building for the good of the community, and charge fees only to cover the costs of maintenance and upkeep of the building and its public utilities. Such fees are agreed at an Executive Committee Meeting and they will not enter into any negotiation with any person, group or organisation regarding the fee to be paid for the use of the building.

The Executive Committee cannot be held liable for any physical, economic or other loss incurred due to unavailability of the building or contents, or services caused by circumstances beyond their control.
